Kelly Stanton called the Annual Member’s meeting to order at 7:30 p.m.

Present:  Alyse Avitabile, Kelly Stanton, Karen Lentz and Charlie Abell.  Jim Cooper was absent.  Also in attendance: 9 members indicated by sign in sheet, 27 members by proxy, and Sharon Lockamy and Renae Foster with TCB Property Management.

Charlie Abell made a motion to accept the November 2015 Board of Director Meeting minutes as presented. Karen Lentz seconded the motion and the motion was approved unanimously by voice vote.

OFFICERS REPORTS:

President - There has been a few notable accomplishments for the 2014 - 2015 year.  First of which is that the brand new Board has persevered and developed into an effective and cohesive team of volunteers.  Second, the Community has resolved the Account Receiving assessments that were being handled through the law offices of Clayton and McCulloh.  The final notable accomplishment was completing the major landscape renovation to the entry median, which we are planning to accomplish more updates in the coming year.

Over the last year, we have been reviewing and updating the Architectural Guidelines and Rules and Regulations, with the goal to adopt them in the coming year.

The Board would like to thank the following people:

  • Sharon Lockamy and Renae Foster, of TCB Property Management.  These two women have been instrumental in the Board's success of the aforementioned accomplishments.  I personally appreciate them always being so quick to return a call, an email, a text, and never hesitating to go the extra mile.
  • Ray McDermott, words can't express how very supportive Ray has been over the past year.  He has covered the full gamut of being helpful!  From the little things, like thinking of others by sharing articles on HOA matters he's come across, to digging up old (and I mean OLD sometimes) information, to nearly always attending meetings, always waiting patiently to be asked for opinions or to share past experiences and giving invaluable insights from years gone by of serving our Community.  Ray has been a mentor during this process and the Community has surely benefited from his generosity.  He is someone I feel blessed to call a friend.
  • James with Southern Greens for his kind demeanor, hardworking and honest work ethic, and quick response time in every respect - whether it is doing work, performing repairs or doing estimates.  Also, the Southern Greens crews for their attention to detail and also for going the extra mile when called upon.
  • Will Leister for starting the foot work on researching options for our Community's parking congestion, for often being our Community Historian, for keeping a watchful eye over us when the Board was brand new and for storing the holiday decorations and helping put the decorations up, and take them down last year.

And to my fellow Board Members, thank you for rising to the occasion and taking on this challenge with me.  Charlie, thank you for your years of insight, and for being so handy to get us back on track with the sprinkler pump.  Karen, thank you for being the best proof reader EVER, and for getting the Chronicles reinstated!  Alyse, thank you for the superior support, awesome insight, watching our finances like a hawk, getting us to add to our Reserves and for always being on the other end of a text when we need you.  Jim, last but not least - thank you for staying on for the past year when you had already served for so many years.  I've appreciated being able to call upon you and you were willing to do whatever was needed at the drop of a hat.  The Board and the Community thank YOU for your service and do appreciate the sacrifices of time you have volunteered to us!

Treasurer Report: On July 27th, the POA recovered $4,030.79 from the house that was in foreclosure due to late HOA fees.  As a result, the POA saw a 66% reduction in the legal fees for 2015 as well as a full recovery of the bad debt.  The POA was able to put $2,500 into reserves.

 REPORTS OF DIRECTORS:

All of the Board Members would like to thank Kelly Stanton for stepping up as President, and really getting a good grasp on the community.  She has done an excellent job keeping meetings on track, accomplishing major projects, and keeping everything running smoothly for this Community.

Nominations from the Floor:

Kelly Stanton nominated Steve Balch to fill the vacant position on the Board.

Unfinished Business:

  • Topics for next Chronicles:

o   Fireworks Statues - Kelly

o   Cleaning and maintaining fences

o   Karen Heer (Hedgerow) - is there Community interest for a monthly Ladies Bunco night?

  • Update on two Outstanding violations:

o   Address disclosed to Board - Stained North side of home - Planned to be completed by end of Nov.

o   Address disclosed to Board - Lawn/landscape needs attention - Mostly cleaned up - no further action at this time, but will continue to monitor monthly.

2016 Proposed Budget: Alyse Avitable presented the proposed 2016 budget.

Karen Lentz made a motion to accept the 2016 Proposed Budget as presented. Alyse Avitable seconded the motion and the motion was approved unanimously by voice vote.

Adjournment:  Charlie Abell made a motion to adjourn the meeting at 7:53 p.m.  Karen Lentz seconded the motion and the motion was passed unanimously by voice vote.

Kelly Stanton called the Organizational meeting to order at 7:53 p.m.

Present:  Alyse Avitabile, Kelly Stanton, Karen Lentz, Steve Balch and Charlie Abell.  Sharon Lockamy and Renae Foster with TCB Property Management were also in attendance.

Charlie Abell made a motion to for everyone to keep their same positions as 2015, and Steve Balch would take over for Jim Cooper as Director at Large. Karen Lentz seconded the motion and the motion was approved unanimously by voice vote.
