Board of Directors Monthly Meeting Minutes

ZOOM Meeting

 Sharon Freeman called the meeting to order at 7:04 p.m.

Present:   AJ Nick, Mary Ann Sonnenberg and Katie Anderson were present.  Also in attendance:  3 homeowners indicated by the ZOOM App.

Copperfield POA Mission Statement:  Manage the operations of the Association to effectively maintain the community to preserve property values and community spirit.

Katie Anderson made a motion to approve the October 19, 2021 meeting minutes as presented.  AJ Nick seconded the motion, and the motion was passed by majority vote.

Old Business:

  • Status of MRTA:  Renae got an update from Clayton & McCulloh on the status of the MRTA filing.  She said the whole process may take a few months, as the as the next step is an Attorney review each document. This is a detailed document review of each document obtained in the Title Search, which will provide guidance on the preparation of the MRTA documents.   As soon as they have that detailed document review, they will be sure to send an e-mail as a follow up, as at that point, they will be closer to the completion of this project and be able to provide a better estimate of how much longer it should take.

New Business:

  • New Bulletin Board:  TCB picked up the meeting signs and have taken over posting the notices.  They suggested the Board look into a bulletin board type permanent sign, which could be used for Meetings, Community Events, Reminders, Etc.  They presented an option from School Outfitters, with boards ranging in price from $262.99-$464.99, depending on the size.

Katie Anderson made a motion to have TCB move forward with purchasing the sign.  Mary Ann Sonnenberg seconded the motion and the motion was passed unanimously by voice vote.

  • Quote to Move Irrigation Well:  At the last meeting the Board tabled this topic.  The quote from D&E Pump is for $4,395.

AJ Nick made a motion approve the quote from D&E Pump at a price not to exceed $5,000.  Katie Anderson seconded the motion, and the motion was passed unanimously by voice vote.

  • Quote to Sod: TCB obtained two quotes to replace the dead sod near the West side of the entrance.  We received a quote from BlueBell Landscaping for $975, and one from Extreme Grounds Maintenance for $920.

Katie Anderson made a motion to approve the quote from Extreme Grounds Maintenance to replace the sod.  Mary Ann Sonnenberg seconded the motion, and the motion was passed unanimously by voice vote.

  • Quote to Remove Dead Palm: We received one quote from Extreme Grounds Maintenance to remove the palm, and grind the stump for $225.

Mary Ann Sonnenberg made a motion to the quote from Extreme Grounds Maintenance to remove the palm.  Katie Anderson seconded the motion, and the motion was passed unanimously by voice vote.

  • Owner Complaint RE: Lake Copperfield: I understand that there's a Board meeting tonight March 22nd. Could you possibly ask one of the Board members to come and take a look at the what used to be the wide open grass field. It's starting to be choked off by the overgrowth coming from both sides of the field. I've mentioned this in the past but it's just gotten worse over the past years. Any of the members are welcome to call me or just walk to the rear of my home and draw their own conclusion. 
  • Pre-Suit Mediation:  Arias Bosinger needs a decision from the Board about whether or not to pursue pre-suit mediation regarding Exhibit A.

Katie Anderson made a motion to pursue Pre-Suit Mediation against Exhibit A for covenant violations.  AJ Nick seconded the motion, and the motion was passed unanimously by voice vote.

  • Entrance Wall Back Side:  The back side of the front entrance wall is in need of painting and pressure washing.  The HOA is responsible for the maintenance of this wall.
  • Newsletter:   Renae will take suggestions from the Board, and Ray McDermott and put together a newsletter for the Board to review and approve.
  • Covenant Enforcement Matters:

Mary Ann Sonnenberg made a motion to send Exhibit B, C, D & E to Arias Bosinger for Covenant Violations as outlined in the Violation Flowchart.  Katie Anderson seconded the motion, and the motion was passed unanimously by voice vote.

Katie Anderson made a motion to have bi-monthly meetings.  AJ Nick seconded the motion, and the motion was passed unanimously by voice vote.

  • Spring Yard Sale:  We will have the Spring Yard Sale on May 7th; 8a-2p.

Katie Anderson made a motion to appoint Joseph Cardali to the Board as a director.  AJ Nick seconded the motion, and the motion was passed unanimously by voice vote.

Katie Anderson made a motion to appoint Kelly Stanton to the Board as Secretary.  AJ Nick seconded the motion, and the motion was passed unanimously by voice vote.
